Toastmaster Hints


Prior to the meeting

  1. Your first order of business is to contact your General Evaluator (GE) and make sure they are set to contact their team. If you have decided on a theme for the meeting, share it with the GE so they can "play along" if you need them to.
    The GE is responsible for contacting the timer, grammarian and the vote counter as well as the evaluators for the meeting.

  2. Contact team members

  3. Contact your team members (Word of the Day, Table Topics and Speakers) to be sure they're ready to participate at the meeting. Gather the following information from your speakers:

    Speech Title, Speech Number and Manual; Also ask them to provide a two to three sentence introduction.

  4. If there are speaker cancellations, please be sure to let the GE know who the replacement speakers will be. The GE is also responsible for letting you know of any changes to their team.

  5. Prepare the Meeting Agenda
    If you need a sample, click here. Using the sample agenda will help you with the timing portion of the agenda.

Rule of thumb: give each speaker their maximum time allotted plus two extra minutes.

NOTE: A good strategy is to set table topics after the speakers. This allows you to make changes to the time allotted for the rest of the meeting if a speaker goes way over or under.

During the meeting

  1. The president starts the meeting and requests introductory remarks. If the president forgets to welcome guests, be prepared to do so as Toastmaster.

  2. Your job is to open the program portion of the meeting, so your next responsibility is to welcome your fellow Toastmasters and honored guests. Share the theme of the meeting next. You might do this by reading from a book, sharing your philosophies or showing some type of a prop.

  3. If there are changes to the agenda, share them.

  4. Introduce the Word of the Day (WOD) speaker, then, take back control of the meeting.

  5. Immediately use the WOD. This sets the example for the rest of the meeting.

  6. Depending on how you have structured the meeting, you will next introduce the Table Topics Master or the first speaker.

  7. After the first speaker, thank them and share a comment regarding how the speech touched you.

  8. Remind members to write notes to the speakers regarding the speech.

  9. If you are on schedule, you can share another theme related vignette. If you are behind schedule, move right on to the next speaker.

  10. After the last speaker, remind everyone to vote and let them know who the vote counter is.

  11. If you saved the Table Topics (TTs) until now, introduce the Table Topics master.

  12. Keep track of time so the meeting stays on schedule.

  13. Let the TT master know when it's time to end TTs.

  14. Thank the TT master and remind people to vote for the best TT.

  15. Time permitting, share another vignette.

  16. Control now shifts to the General Evaluator

  17. Introduce the GE, sit back and relax.

  18. After the evaluators, grammarian, timer and vote counter reports, the GE will return control of the meeting to the Toastmaster.

  19. Share another vignette, time permitting.

  20. Thank everyone and wrap up the meeting.

  21. Return control to the president.

A few things to remember:

  • When addressing the club begin: "Madam/Mister Toastmaster, Fellow Toastmasters and Honored Guests…
  • Any time you turn the meeting over to someone else or take back control, shake their hand.
  • Never leave the podium unattended. Be sure the next participant is at the podium before you leave it. That goes for anybody at the podium.
